Privacy Policy

Spitfire Elite LLC ("Spitfire," "we," "us") provides airline interview preparation: online training, coaching sessions, mock interviews, application and resume reviews, AI interview practice, conferences and a pilot community. This policy explains what information we collect, how we use it, who helps us process it, and the choices you have. It covers spitfireelite.com and our related sites and apps, including dashboard.spitfireelite.com, store.spitfireelite.com, resume.spitfireelite.com, schedule.spitfireelite.com, blaze.spitfireelite.com, training.spitfireelite.com and hangar.spitfireelite.com (together, the "Services").

We do not sell your personal information, and we do not use it for third-party advertising.

1. Information we collect

Information you give us

  • Account information: your name and email address, and your Google account details if you choose "Continue with Google".
  • Profile and interview information: phone number, time zone, your target airlines and interview dates, and the questions you want to work on.
  • Your application materials: resumes, flight logs, airline application content, intake answers and other files you upload for review. Also the feedback, notes and finished documents our reviewers produce.
  • Purchases: what you bought, when, and the amount. Card payments are handled by Stripe; we never see or store your full card number.
  • Messages and forms: anything you send us through contact forms, email, coaching session chat, or our community.
  • Community posts: what you post in The Hangar, our pilot community.

Information created when you use the Services

  • Training progress: the courses and lessons you've started or finished, and where you stopped in a video.
  • Coaching and scheduling: the sessions you book, cancel or attend, waitlist positions, and attendance records. Attendance for online sessions may be recorded from the meeting's participant list.
  • AI interview practice (Blaze):
    • Your spoken answers are recorded in your browser and sent for transcription. The audio is deleted after it's transcribed.
    • What we keep: the transcripts, practice questions, scores and feedback.
    • Your camera video is not uploaded. Any on-camera analysis, such as eye contact, runs on your own device, and only the resulting scores are saved.
  • Account security: to protect accounts and prevent account sharing, our training platform records sign-in and usage information. This includes IP address, approximate location (city and country) derived from it, device and browser details, a device identifier, and the pages viewed.
  • Website basics: our web servers keep standard logs (such as IP address, browser and pages requested) for security and troubleshooting.

Cookies. We use cookies that are needed to sign you in and keep your session secure. Our public website does not currently use advertising or analytics cookies. If we add analytics, we'll update this policy first.

2. How we use your information

  • To provide the Services you signed up for. That means giving you access to training, booking sessions, reviewing your application and resume, running AI practice, and showing everything on your dashboard.
  • To match you with coaches and sessions, including priority booking based on your package and how close your interview is.
  • To communicate with you: confirmations, reminders, review updates, support replies and, where you've agreed, news about events and programs.
  • To process payments and keep accurate records of what you've purchased and used.
  • To keep the Services secure and fair, including detecting shared or misused accounts.
  • To improve our training and coaching.
  • To meet legal, tax and accounting obligations.

3. AI features

Some features use artificial intelligence to transcribe practice answers, generate practice questions and feedback, and read text from uploaded documents. When you use them, the relevant content is sent to the AI providers listed below to produce a result for you. We use these providers through their business services, which do not use customer data to train their public models under their published terms. AI feedback is automated and can be wrong; your human coaches and reviewers remain your source of expert guidance.

4. Who we share information with

We share information only with:

  • Service providers who process it on our behalf to run the Services:
    • Accounts and sign-in: Clerk (authentication) and Google (sign-in with Google).
    • Payments: Stripe.
    • Hosting and storage: Railway, Render, Vercel, Cloudflare (including file storage) and Google Cloud.
    • Email and messaging: Resend (email delivery) and Slack (internal staff notifications).
    • Calendars and video: Google Workspace (calendar, video meetings and staff email), Vimeo and Wistia (training videos) and Libsyn (podcast).
    • AI: OpenAI (speech transcription), Anthropic (practice feedback and document reading), Google (Gemini, Vertex AI and Document AI, for document reading), and HeyGen and LiveKit (the AI interviewer's video avatar).
    • Our earlier training and email platform: Kajabi. We also use ip-api.com to approximate location from an IP address, and Monday.com, which holds historical review records.
  • Your coaches and reviewers, who see what they need to help you, for example your interview dates and target airlines, or the documents you submitted for review.
  • Other community members, who see what you post in The Hangar.
  • Legal and safety reasons: when required by law, or to protect our rights, our users or the public.
  • A business transfer: if Spitfire is merged, acquired or sells its assets, information may transfer as part of that deal, under this policy's protections.

We do not share your interview dates, application materials or practice results with any airline.

5. How long we keep information

We keep your information while you have an account or an active purchase with us, and afterwards as long as needed for the purposes above. That includes keeping purchase records for tax and accounting. Practice audio is deleted after transcription. You can ask us to delete your account at any time (see section 6). Some records may be kept where the law requires it.

6. Your choices and rights

  • Access, correction and deletion: email info@spitfireelite.com and we'll respond within 30 days. We'll confirm it's really you before acting on a request.
  • Your profile: you can update your interview dates and target airlines yourself in your account.
  • Marketing email: you can unsubscribe from marketing email at any time. We'll still send emails about your purchases, bookings and account.
  • Google sign-in: you can disconnect Spitfire from your Google account in your Google settings.

Depending on where you live, you may have additional rights under state privacy laws. We honor these requests from all users, wherever they live.

7. Security

We protect information with encryption in transit, access controls, signed connections between our systems, and providers with strong security programs. No system is perfectly secure; if we learn of a breach affecting your information, we'll notify you as the law requires.

8. Children

You must be at least 13 to use the Services. If you are under 18, a parent or legal guardian must agree to these terms for you and is responsible for your purchases. We do not knowingly collect information from children under 13. If you believe a child under 13 has given us information, contact us and we'll delete it. A parent or guardian of a user under 18 can contact us to review or delete that user's information.

9. Where we operate

Spitfire is based in the United States, and your information is stored and processed in the United States.

10. Changes to this policy

If we make material changes, we'll post the new version here with a new effective date, and notify you by email or in your account where appropriate.
